Print-Ready Artwork Checklist

Before you send your artwork, take a quick look at these basics.

Is the final file a high-quality PDF?

  • Are images at least 300 dpi?
  • Are your colors set up for print?
  • Does artwork extend into the bleed area where needed?
  • Are important words and logos safely inside the trim?
  • Have you checked phone numbers, URLs, dates, prices, and offers?
  • If the piece will be mailed, has the layout been checked for postal requirements?

Not sure about any of that? Send us what you have. We would rather catch something before production than have you discover it after everything has been printed.

What Should I Have Ready Before Requesting a Quote?

You do not need every production detail figured out before you contact us.

If you know these things, they give us a good place to start:

  • What you want to produce
  • Rough quantity
  • Approximate size
  • Whether you already have artwork
  • Whether we are mailing it
  • Where it needs to go
  • When you need it

Have a firm deadline? Give us the date first. We can work backward from there and help determine what needs to happen.

Direct Mail Planning Checklist

Start with who you want to reach, what you want them to do, and when you want the message getting there.

Before you start a mailing, think about:

  • Who are you trying to reach?
  • What do you want them to do?
  • Do you already have a mailing list?
  • Would broad neighborhood coverage or more precise targeting make more sense?
  • What is the main offer or message?
  • When do you want people receiving it?
  • How will you know if the campaign worked?

You do not need all the answers before calling us. If you know the goal, we can help you work through the rest.

EDDM or Targeted Direct Mail — Which One Do I Need?

One gives you broad geographic coverage. The other gives you more control over who receives your message.

EDDM works well when you want to reach complete carrier routes in a particular area.

Targeted direct mail gives you more control over who receives the piece by using a mailing list selected around the audience you actually want to reach.

You do not have to know which one you need before you contact us.

Planning Around a Mail Date

If your mailing is tied to a deadline, start with the date that matters most.

If your mailing is tied to an event, sale, grand opening, required notice, or other deadline, tell us when you need the message reaching people.

We can work backward from that date and determine when artwork, data, approvals, printing, production, and mailing need to happen.

It is much easier to catch a timing problem at the beginning than when the deadline is already on top of us.

What Should I Check Before Approving My Proof?

Before giving us final approval, take one last look at the details that are hardest to fix once printing begins.

You know the details of your business better than anyone. Before giving us final approval, check:

  • Names
  • Phone numbers
  • Website addresses
  • Dates and times
  • Prices
  • Offers
  • Mailing addresses
  • QR codes
  • Spelling
  • Final layout
  • Fold placement

We review the production side too. Having both of us look at the piece gives us the best chance of catching something before it reaches the press.

Those are two different discounts and they do not compete. A meter saves you a few cents against the retail counter price on a single-piece letter. Presort automation is a separate, much deeper discount that requires sorted, CASS verified, barcoded mail with postal documentation. Depending on the mailing and the USPS rates in effect, presorted 5-digit automation can run around 20% less than metered First-Class, and that gap compounds fast at volume.

Pickup and preparation are two different things. USPS picking up your mail does not change what you pay for it, and your staff is still folding, stuffing, metering, and hauling trays. We do the sorting, address verification, and postal paperwork that unlocks presort pricing, then hand it to the same Postal Service network your carrier was already taking it to. Most clients tell us the staff hours they get back are worth as much as the postage savings.

EDDM and Postcards

Can we target only the nicer neighborhoods, or only homeowners above a certain income?

Not with EDDM. Every Door Direct Mail delivers by postal carrier route, and a route goes in full or not at all, so there is no way to filter by income, age, or homeownership inside one. What you can do is choose which routes to mail, and route-level census data does let you favor better neighborhoods. If you need true household-level targeting, that is a list-based mailing, which we also run, and we will tell you honestly which one your goal calls for.

What does an EDDM postcard actually cost?

EDDM uses a USPS-set postage rate, so the postage portion is not something we invent. We pass it through at cost with no markup, so the only variable in our quote is the print side, which depends on size, paper stock, and how many you run. Bigger runs bring the per-piece print cost down meaningfully. You will always see the two numbers separately so you know exactly what is postage and what is production.

How do we pick which routes to mail?

We map it with you. Every carrier route has a known address count and route-level census data covering average household income, home value, and age, so we can compare routes side by side before you spend anything. We usually start from your customer footprint and expand outward, since your best new customers tend to live near your current ones. You approve the final route list and the exact piece count before we print.

ARTWORK

Do you do design, or do we have to supply the artwork?

We do both. Our design team can build the piece from scratch or work from your brand standards, and if you already have a designer, send us their print-ready file. Either way we check it against USPS requirements before printing.

What file format do you need, and what is bleed?

A print-ready PDF is ideal, with images at 300 dpi and colors built in CMYK rather than RGB. Bleed is artwork extending past the trim line, typically an eighth of an inch on all four sides, so that trimming never leaves a white sliver along an edge. Keep important text and logos at least an eighth of an inch inside the trim so nothing critical gets cut. If your file is not set up this way, tell us and in most cases we can fix it.

Do we get a proof before it prints?

Yes. Nothing goes to press without your written approval. Your proof shows exactly how the piece will print, including trim, fold placement, and the address area, and for mail pieces we confirm the postal requirements at the same time. Review it carefully, because once a job is on press, a change means starting the run over.

NEW CUSTOMER SETUP

What do you need from us to get set up as a new customer?

Start with the job, not the paperwork. Send us what you want to mail and we will scope and quote it first, so you know the numbers before filling anything out. Once you are ready to move, setup is a short new account form covering billing contact, approval contact, and permit information if you have one. Nothing about the paperwork has to happen before you get a price.

Do we need our own mailing permit, or can we use yours?

Either works, and we will tell you which makes more sense for your situation. Mailing under our permit means no annual fee and nothing for you to maintain, and it is the right choice for most clients, especially at the start. Having your own permit makes sense when you mail high volume, want the permit tied to your own name, or plan to bring some mailing in-house later. USPS charges an annual permit fee for either First-Class Presort or Marketing Mail, and that fee may change as postal rates are updated.

How does billing work, and how do you handle the postage money?

Production and postage are billed as two separate lines. Production covers design, print, and mail preparation and is billed by us. Postage is a pass-through at exactly what USPS charges with no markup added, and because the Postal Service requires it to be funded before mail drops, it is handled ahead of the mailing rather than after. You will always be able to see which dollars went to us and which went to USPS.

TURNAROUND TIME

How fast can you turn a job around?

We build backward from your date, not forward from ours. Tell us when you want it landing and we will set the print, production, and induction schedule to support it, then tell you honestly whether the date is achievable before you commit. Most standard postcard and letter jobs run 3-5 business days from proof approval to mail drop once artwork and data are final. Complex jobs with multiple inserts or heavy data work take longer, and we will say so up front rather than promise a date we cannot hold.

We need this out the door fast. Do you do rush jobs?

Often, yes, depending on press availability and how ready your artwork and data are. Call us with your date and we will tell you honestly whether it is achievable before you plan around it. We will not accept a deadline we do not believe we can hit.

Once it drops, how long until it hits mailboxes?

That depends on the class. First-Class is the faster and more predictable option and is the standard for statements, invoices, and legal or compliance notices. Marketing Mail and EDDM cost significantly less, but USPS does not guarantee a delivery window on them, from us or from anyone. We can control the drop date precisely, so when a campaign is tied to an event we plan a buffer and tell you what to expect rather than quoting a delivery promise the Postal Service does not make.

Can any postcard be used for EDDM?

It needs to meet USPS requirements before it can qualify for EDDM.

No. EDDM has specific USPS requirements for the size, format, and weight of the finished
piece.

That is why it helps to decide how you plan to mail something before the design is completely
finished.

If you send us the piece early, we can help catch a format or design choice that could
keep it from qualifying for the mailing method you planned to use.

Our mailing list is old. Can you help clean it up before we mail?

A cleaner list can mean fewer wasted pieces and fewer dollars spent mailing to bad addresses.

Yes.

An old or inaccurate mailing list can mean spending money to print and mail pieces that never
reach the right person.

We can help prepare your mailing data and check address information before production. One
of the tools used in that process is CASS — Coding Accuracy Support System, a USPS system
for improving the accuracy and standardization of mailing addresses.

If you are unsure how clean your list is, send it to us before you print. We would much rather
find address problems before you have already paid to produce and mail the pieces.

When should we contact you if we have a hard deadline?

Start with the date that cannot move and let us work backward from there.

We can work backward and help determine when artwork, approval, production, mailing, shipping, or delivery need to happen.

What should I look for when approving a proof?

You know your business details. We know production. Checking the piece from both sides helps catch problems before they become permanent.

Check the details that only you may know are wrong.

Look closely at names, phone numbers, addresses, URLs, dates, prices, offers, QR codes, and other business information.

We will look at the production side with you. You look at the details of your business. Between the two of us, we have a much better chance of catching something before it becomes permanent.

Can you add a QR code to my printed piece or mailer?

Yes — and we can also help make sure it works before thousands of copies are printed.

QR codes can connect a printed piece directly to a quote form, landing page, event registration, product page, special offer, or other online destination.

Before we print it, we want to make sure the code works, has enough contrast, is large enough to scan easily, and points to the right place.

If you want to measure how many responses came from the printed campaign, tell us before the QR code is created. We can make sure the destination is set up in a way that gives you better information about how the campaign performed.

A mailing decision made early can prevent a design decision from costing more later.

When possible, yes.

The way a piece will be mailed can affect its size, layout, folds, address area, and other design decisions.

If you already know it will be mailed, tell us before the design is locked in. A quick review early can keep a design decision from becoming a postage or production problem later.

Do I need finished artwork before I contact you?

No. You do not need to finish the project before asking us to help with it.

If you already have artwork, send it and we can take a look.
